Smiling Albino is looking for an experienced Contracting and Costing Manager to join our Bangkok office team. This position is perfect for someone with solid experience in the contracting and costing space within the travel industry, who is ready to take the next step in their career. We value a broad understanding of contract management, pricing analysis, and a proven ability to handle various tasks effectively.

Role Overview:

As our Contracting and Costing Manager, you’ll be managing and optimizing our contracts and costing strategy to ensure competitive and efficient operations. You will report directly to the Commercial Director and work closely with our growing team.

Key Responsibilities:

Contract Management:

  • Propose, implement, and manage a contracting strategy aligned with company goals.
  • Negotiate competitive, mutually-beneficial contracting terms with suppliers and partners as the primary contact for the company in supplier contractual matters.
  • Maintain and update existing contracts to ensure they remain effective and aligned with strategy.
 
Costing and Pricing Management:
  • Keep company costs, tariffs, and contracts up-to-date and organized for maximum accuracy, and easy access by client services and trip operations teams.
  • Create customized tariffs for overseas agents and internal sales team.
  • Accurately apply pricing and markup changes and actively monitor and share impact of all pricing adjustments.
 
Team Collaboration and Support:
  • Provide clear and timely responses to sales, trip operations, and product team costing requests.
  • Work with the product team to keep the team informed on new products, suppliers, and partners.
  • Work proactively to reduce inefficiencies and improve accuracy in the sales, trip operations and accounting workflows.


Key Qualifications Include:

 

  • At least 3 years of experience in contracting and costing within the travel industry.

  • Proficiency in data analysis tools.

  • Strong negotiation skills, proactive, dynamic, passionate, and a team player.

  • Native Thai and excellent English communication, collaboration, and interpersonal skills.

  • Thai citizenship.

  • Highly accurate with excellent attention to detail.

  • Strong commercial awareness.

  • Excellent working knowledge of Microsoft Office and Google Workspace.

Your responsibility will be to engage with clients from around the world, working with them to design the unique journeys only Smiling Albino can offer. Your expertise and passion for travel will ensure that each client enjoys a memorable and one-of-a-kind adventure.

Key Qualifications

Luxury Travel
  • Expertise in experiential luxury travel with in-depth knowledge of Southeast Asia destinations.
  • Minimum of 3 years of experience in luxury travel consulting.
  • Preferred experience selling to North American and UK markets.
Sales Acumen
  • Strong sales skills with the ability to close deals and achieve targets.
  • Exceptional customer service and communication skills.
  • Empathy and the ability to understand and respond to customer needs.
  • Creative and curious, with a proactive approach to planning and problem-solving.
Detail Oriented
  • Highly detail-oriented with strong organizational and time management abilities.

The Role:

  • Trip Management: Ensure seamless bookings, reservations, and logistics for hotels, airlines, and local partners.
  • Client Support: Assist travel consultants, resolve travel issues, manage guide assignments, and handle customer care.
  • Quality Assurance: Monitor tour details, update documentation, check operation performance, and ensure accuracy.

 

What you can offer:

  • Minimum degree educated in related fields.
  • Minimum 2 years in tour operations, travel agencies, hotels, or related fields.
  • Fluent in English and Thai – written and spoken.

The Opportunity:

We are looking for a Sales Coordinator to join our mission to “inject ‘Customer Service WOW” at every point in the client journey and into the values of all teams. You will be a part of our Guest Experience Team helping to deliver seamless experiences to our high expectations of international guests.

Key Responsibilities:

Email Management & Inquiry Tracking:

  • Record all inquiries in Podio, ensuring visibility across the team, and track their status in AXUS and Confluence systems.
  • Follow up to confirm timely responses, track inquiry progression, and identify if they evolve into proposals, ensuring no inquiry goes unaddressed.

 

Operational Briefing & Coordination:

  • Conduct briefings with Operations to cover all aspects of incoming trips, ensuring smooth planning and execution.
  • Lead regular coordination meetings to ensure a seamless handoff, particularly around Terms and Conditions (T&Cs) for client arrangements.

 

Sales Support:

  • Manage day-trip sales, including client communication, booking (when required during peak season), and follow-up for seamless execution.
  • Activate pre-sales process with lead Travel Designer.
  • Activate post-sales process with lead Travel Designer.

 

Travel & Product Research:

  • Research hotel options to confirm availability, assess restrictions, and evaluate suitability for upcoming client trips.
  • Use Amadeus to check flight availability, schedules, and routes, coordinating relevant details with the team as needed.

 

Product Support & Development:

  • Provide additional support on product research and development as required, contributing to the continuous improvement of Smiling Albino’s offerings.

 

Peak- Time Operational Support:

  • Act as a support bridge during peak operational periods and Saturdays, assisting the Client Services team with client communication, booking confirmations, and inquiry follow-ups to ensure uninterrupted service delivery.

The Opportunity:

Smiling Albino is seeking an experienced Head of Sales & Client Services to join our team and lead our Sales department from our Bangkok head office. Reporting directly to the Director of Commercial Strategy, you will play a pivotal role in driving team performance and ensuring outstanding client experiences.

This position is ideal for someone with solid experience in sales, account management, and client services, who is ready to take the next step in their career. Leadership experience in team management is required, along with a strong understanding of sales processes, client relationship management, and cross-departmental collaboration. A proven ability to handle a variety of tasks effectively is essential.

As a working manager, you will oversee a team of Sales Coordinators and Travel Designers while occasionally contributing directly to sales and trip design to support the team and deliver exceptional customized travel experiences.

Key Accountabilities:

  • Team Leadership & Management: Oversee, coach, and support the Sales Coordinators and Travel Designers. Conduct performance evaluations with actionable feedback, promote a customer-first mindset, and foster collaboration. Inspire the team to achieve sales targets, maintain client satisfaction, and continuously improve.
  • Sales Coordination & Management: Respond to inquiries, direct them within the team, and actively sell Smiling Albino’s tailored itineraries. Collaborate on trip design to meet client needs and support team members in managing relationships. Build strong client connections to drive retention and satisfaction.
  • Operational Support & Collaboration: Align team goals with business objectives under the Director of Commercial Strategy. Collaborate with internal teams – Trip Operations, Product, Marketing, and Admin/Accounting – to ensure smooth service delivery and effective cross-departmental coordination.
  • Process & Standards Improvement: Enhance team efficiency by improving processes, tools, and workflows. Identify opportunities for optimization, implement solutions, and focus on measurable outcomes.
  • Results & Accountability: Success will be measured by achieving sales targets, maintaining high client satisfaction and retention, developing a high-performing team, and implementing impactful process improvements.

 

Skills, Qualifications, and Experience

  • Industry Experience: Proven experience in the travel industry, ideally with a Destination Management Company (DMC) or luxury travel provider. Familiarity with other travel providers, such as agents or vendors, is an asset.
  • Team Management: At least 5 years of experience in team management, including coaching and performance evaluations.
  • Sales Expertise: Minimum of 5 years of experience in sales, with a strong track record of achieving revenue targets and managing key accounts.
  • Other Skills: Strong proficiency with Microsoft Office or Google Workspace, especially spreadsheets for analysis and tracking. Strong communication, and problem-solving skills. Confidence in handling challenging customer interactions with professionalism and composure.
